You have worked hard during your first year at ADBWC to develop a company-wide IT Continuity of Operations Plan (IT-COOP), which was reviewed and approved by the CIO, CFO, General Counsel, Director of Risk Management and finally by the CEO. |
One of the key parts of your plan is a Continuity of Operations Working Group. This group’s charter is to regularly review the IT-COOP to deal with problems, and to assure that the plan is kept up to date as technology and user requirements change. You also expect to use these quarterly sessions as the venue for your annual IT Continuity of Operations Table Top Exercise.
At the first meeting of the group, none of the actual participants showed up. Some sent fairly senior people to represent them. One sent a very junior person, and one sent a summer intern. One neither showed up nor sent anyone as a representative.
For your primary post, write a draft email to try to explain to the participants why their personal participation (or at least appointing a senior-level representative) is important not only to the company but to their unit as well. Also, how would you suggest that they designate an alternate so that if the designated attendee can’t attend, there’s someone who understands the group’s work (they will be on the group’s email distribution list.)
